March 4: International Women's Day Information


International Women’s Day Celebration on March 4, 2017 at Queen Elizabeth Secondary School (9457 King George Blvd).  We have them doing 15 minutes all together.  They are scheduled for 1:30 so we would want them there at least 15 minutes before hand and would welcome the girls to stay for the Celebration.  The actual Celebration starts at 1:00 pm and goes until 4:00 pm.

Shamrock Dance Competition Information - meet there at 3pm

Dear Shamrock Dance Competition 2017 Performer Registrants:

We look forward to hosting you this Saturday.  Below are a few items to review before the event:  

2. PRACTICE TIMES & FLEXIBLE PERFORMER CHECK-IN (1:00 PM to 4:00 PM)
Given the large number of teams and performers, we are making the performer check-in process more flexible.  We will have team check-in beginning at 1:00 pm.  However, if your team has a later staging/practice time, you can arrive later.  We will have registration attendants from 1:00 pm to 4:00 pm checking-in teams.  Please note that we will not be able to check-in teams without the presence of a sponsor teacher.    Should teams arrive without their teacher, they will be required to wait outside until the teacher arrives.  Sponsor teachers are required to be at the school for as long as students are at the school.

Frank Hurt we will meet at 3:00 PM outside of St. Patrick's. 


Note: Should you miss your staging/practice time, you will not be given another.  Times will be strictly enforced by event staff.  We recommend that you arrive and check-in 30 minutes before your staging time.  

Informal practice space will be available in the adjacent parking lot, weather permitting. 

After 4:00 pm we will enforce a strict no in-or-out system for all performers and audience members.


3. MUSIC FILES
The deadline for submitting your audio is Wednesday, February 22nd at 11:00 pm.  The deadline for audio corrections will be Friday, February 24, 11:00 pm. 


4. TRANSPORTATION AND PARKING 
Saint Patrick Regional Secondary School (115 East 11th Avenue, Vancouver, BC, V5T 2C1) is in the middle of a dense urban area.  It is well served by buses, Skytrain, and bike routes.  We encourage as many people as possible to use these environmentally friendly transportation options.

Parking is, unfortunately, limited.  There is no dedicated audience or performer parking lot.  The staff parking lot adjacent to the school is reserved for school administration, senior production and event staff, VPD, and event judges.  It will be monitored and the gate will be locked.  Please plan to arrive early in order to find parking in the neighbourhood.

Please note that the parking lot at Saint Patrick Parish (2881 Main St, Vancouver, BC V5T 3G1) is not to be used prior to 6:30 pm.  Violators will be towed. 


5. SAMPLE SCORE/JUDGE SHEET
We are sharing this with you as a courtesy.  We will have 6 judges judging all performances.  The score sheet is concise to make this possible and to keep the event moving quickly.  By having all 6 judges judge all performances, there is considerably greater consistency and volume of feedback --though unfortunately less comment detail per sheet as a result.  This is a trade we felt was worth making for the greater good of the competition.  

We have grouped the performance order to have categories perform back to back (Duo/Trio Category first, then Junior Category, then Senior Category).  This will also add more consistency to the judging of the event.  


Again, we are sharing this with you as a courtesy.  No further changes to the score sheet or event sequence will be made. 



6. PERFORMER ETIQUETTE CONCERNING STAGE, FLOOR, AND AUDIENCE EXPERIENCE
As you and your teams polish your choreography for Shamrock 2017, please be mindful of the big picture of the event.  For instance, please do not use things such as fluids, glitter, confetti, powders, or similar, during your routine that can adversely impact the stage and/or performers after.  This can be dangerous if it makes the floor slippery.  Similarly, it is disrespectful to the audience to make them wait for the floor to be swept or mopped before the event can continue. This logic also applies to large props that can delay the show and/or block audience views and/or performer access to the stage.  Teams have generally been very good with this in the past, but this is just a gentle reminder  --particularly important given how full this year's event is.



7. NO TICKETS WILL BE SOLD AT THE DOOR
Tickets will NOT be sold at the door.  As the competition sells out each year, we hate turning away people at the event.  Selling tickets online is the best way for us to make people happy.  If a person can buy a ticket, they are promised to get in.  The tickets are available 24/7 online, even the day of the event, at: https://www.showclix.com/event/shamrock2017



8. SHAMROCK 2017 LIVE STREAM
As in previous years, we will be providing a live stream of the event for dancers waiting to perform. Those parents/friends/family interested in Shamrock 2017, but unable to attend, can watch the competition live online as well at:

REGISTRATION PACKAGE DETAILS (FOR REVIEW)
General Rules and Conduct
  • Competition is only open to high school students from grade 8 – 12 in B.C.
  • All teams must have at least one teacher sponsor present at 1:30 PM for sign-in and during the competition
  • All teams can only have ONE COACH present at the competition
  • All dancers must have their Go-Card/I.D.
  • Music and costumes must be appropriate for a school and family environment
  • All teams much show respect to all competitors
  • Any misbehavior during the competition will be dealt by the Vancouver Police Department.  Severe infractions may result in the offending school’s exclusion from future Shamrock events.

Arrival Time: All dancers & ONE teacher sponsor must arrive at 1:30 PM for dancer sign-in. Please bring a valid student I.D. and sign in at the cafeteria entrance. Signs will be posted.

Staging Time: Each dance team will have an allotted time of 7 minutes to practice on the dance floor between 1:30 pm and 4:15 pm. The organizers will give teams the closest staging/practice time slot to the one requested, in order of registration.  The official staging time slot sheet will be published one week prior to the event.  



Music:  Must be 2 minutes MIN. & 3 minutes MAX. Each team must have final music ready by Wednesday, February 22nd, 2017 at 11:00 PM. Please have your music edited and finalized before sending it in. Have at least two copies of your music on the day of the competition. (For example, 1 USB .mp3 file or iPod/iPhone). Please send music files to: "shamrockdance@stpats.bc.ca" 

Security: For your safety, staff and parent volunteers will conduct a bag check for dance members and audience members. The Vancouver Police will be present at the dance competition all evening. Note: There will be no in and out privileges after 4pm.

Concession: Food and drinks will be available in the school cafeteria all evening. The cafeteria will only accept cash.

Stage Dimensions: The dimensions of the performance space/stage are 36 FT WIDE by 32 FT DEEP (10.97m wide x 9.75m deep).  These dimensions are the same size as in previous years.  These dimensions are the maximum available size given the physical dimensions of the gymnasium and the large size of the audience that comes to support the event.  We deeply value our dancers and our attending audience.  We thank you in advance for coming prepared to dance within the dimensions of the stage to ensure that the event is enjoyable for all.  


Lighting and Sound: Hip hop dance competitions are wonderful events that reflect the different cultures and tastes of each hosting school/venue.  As there are several high school dance competitions in the calendar, we recognize and look forward to seeing the different ways hip hop dance competitions are put on.  The Shamrock Dance Competition at Saint Patrick Regional Secondary School is a unique event.  As such, the lighting and sound experience may be different than at other schools/venues.  We ask that you respect the artistic discretion of the organizers in this area as they work hard to put on a special and memorable event for both audience and performers.
